This Privacy Policy explains how we collect, use, store, disclose, and safeguard your information when you visit our website, create an account, register items, or interact with our platform in any way. By using Register My Gear, you consent to the practices described in this policy.

2. Information We Collect

Account Information: When you register for an account, we collect your name, email address, phone number, and account type (personal, business, or agency). We may also collect your organization name, department, and verification credentials for agency and business accounts.

Item Records: You may choose to register items with serial numbers, descriptions, categories, purchase dates, purchase prices, estimated values, and custom notes. You control what information is entered for each item.

Photos and Documents: You may upload photos, purchase receipts, warranty documents, and other files related to your registered items. These files are stored securely and are not publicly accessible unless you explicitly change visibility settings.

Payment Information: For paid plans, we do not store credit card details directly. All payment processing is handled by Stripe, our third-party payment processor. We receive confirmation of payment status, plan type, and subscription dates from Stripe.

Usage Data: We collect information about how you interact with our platform, including log data, device information, browser type, IP address, and pages visited. This helps us improve our services and detect security issues.

3. How We Use Your Information

Providing Services: We use your information to create and maintain your account, register your items, generate reports and certificates, and enable QR code functionality.

Communications: We may send you service-related emails, security alerts, and updates about your account. You can opt out of non-essential communications in your settings.

Security and Fraud Prevention: We use your information to verify accounts, detect suspicious activity, and prevent unauthorized access.

Improvement: We analyze aggregated usage data to improve our platform features, user experience, and performance.

4. Public QR Pages and Privacy Settings

Each registered item can have a public QR verification page. By default, this page shows only the item name, category, and a secure contact form. Your personal information, address, serial number, and photos are not shown publicly unless you explicitly change the visibility settings for that item. You control the privacy level of each item individually.

5. Agency Searches and Data Access

Approved agencies such as law enforcement, pawn shops, and recovery services can search serial numbers in our database. When an agency searches a serial number that matches your registered item, they see only the information you have chosen to make public. They do not see your full profile, private notes, or documents. All agency searches are logged for audit purposes.

6. Cookies and Tracking

We use cookies and similar technologies to maintain your session, remember your preferences, and analyze traffic. You can control cookie settings through your browser. Essential cookies required for login and security cannot be disabled. We may use third-party analytics tools that place their own cookies.

7. Data Retention

We retain your account and item data for as long as your account is active. If you delete your account, we will remove your personal information and item records within 30 days. Some data may be retained longer if required by law, for legal proceedings, or for legitimate business purposes such as fraud prevention and audit logs.

8. Third-Party Services

We use Stripe for payment processing, Supabase for database and authentication services, and Resend for email delivery. These services have their own privacy policies and security practices. We only share the information necessary for them to perform their functions. We do not sell your personal information to any third party.

9. Data Security

We use industry-standard security measures including encryption in transit (TLS/SSL) and at rest, access controls, and regular security reviews. However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security, but we take reasonable steps to protect your data.

10. Your Rights and Choices

Access and Update: You can view and update your account information and item records at any time through your dashboard.

Export: You can export your full inventory and account data as a CSV, Excel, or PDF file.

Delete: You can delete your account and all associated data from your settings page. Deletion is permanent and cannot be undone.

11. Children's Privacy

Register My Gear is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have collected information from a child under 13, please contact us immediately and we will delete the information.

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by email or through a notice on our website before the changes take effect. The date at the top of this page indicates when it was last updated.
